Manage Bid Process

 

Realizing that the bid process is far more than merely getting prices, Pointe Counseling Services' (PCS) unique approach to this process has proven successful in not just selecting the best price from amongst the bidders, the client doesn't need an expert for that. We go to great lengths to carefully select the markets each bidder may approach. This way PCS is sure that only one bidder will approach a given market. We also make a diligent effort to establish the best bidder to approach the markets. This requires an intricate evaluation which we have found to be very worthwhile. In this step of the process, we work with the client towards the common goal of getting the best bidder to go the best market to get the best insurance carrier to offer the best program.

 

In addition to bidder selection, we also advise our clients of the overall procedure for bidding and explain the use of PCS' Pre-Interview Kit (Pre I) which deals with such important subjects as:

 

¨     Developing Needed Information

¨     Assignment of Carriers

¨     Invitations to Bid

¨     Bidder Qualification Forms

¨     Clerical Functions

¨     Requests for Loss Information

 

The Pre I gives the client an organized approach to the entire bid process. As the name suggests, this phase accumulates the necessary information for PCS representatives and the client to schedule an interview. During this interview, many subjects are discussed and some decisions will be made regarding bidders, timing of the bid process and responsibilities for particular functions. The interview also spends quite a bit of time identifying the exposures to loss that the client faces. Through several techniques, PCS and the client discuss these exposures and the preferred way to handle them. Some of these exposures may have been identified during an inspection by a PCS representative prior to the interview.

 

Also discussed at this time are the clients' Risk Management Philosophies and Objectives. This, when related to the clients' Disaster Plan allow PCS to formulate an opinion and advise the client on the Risk Management process necessary to evaluate the insurance needs to be included in the specifications.
